We work exclusively with healthcare professionals, primarily physiotherapy and chiropractic clinics across Canada. In doing so, we may handle limited personal and health-related information on behalf of these clients to help manage inbound communications, form submissions, and performance reporting.

  • Website contact form data (name, phone number, email, inquiry details)

  • Marketing form submissions and booking requests

  • Call tracking metadata (e.g., call duration, timestamp)

  • Call recordings for training and performance analysis

  • Information necessary to route, respond to, or book appointments via a clinic’s preferred systems

We do not sell, share, or trade any personal or patient information to third parties.

3. How We Use and Protect Data

All data we collect is used for the sole purpose of improving marketing performance and supporting our clients’ patient acquisition workflows.

Our safeguards include:

  • Limited role-based access to call recordings and lead data
  • Routine deletion of data after a defined retention period.

  • Internal redaction protocols to mask or remove sensitive information from call recordings or transcripts

  • Secure server environments and enforced multi-factor authentication (2FA) for staff.

4. Use of Call Tracking and Recordings

To monitor marketing effectiveness, we may track and record inbound calls on behalf of our clients. Where recordings are active, callers are notified at the beginning of the call. These recordings are used only for internal analysis, performance insights, and reporting—and are stored securely in compliance with Canadian privacy laws.

5. Third-Party Tools & Vendors

We partner with reputable platforms to power parts of our reporting and data flow. We review these vendors to ensure they meet Canadian data privacy standards. No data is transferred outside of these secure environments without purpose and oversight.

6. Individual Rights

Under Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and the Personal Health Information Protection Act (PHIPA) in Ontario, you have the right to:

  • Request access to the personal information we hold about you

  • Request a correction to your information if you believe it is inaccurate or incomplete

  • Inquire about how your information has been used, disclosed, or stored
